KVKK Privacy Notice for Job Applicants

1. Data Controller

As Nova Sağlık Yönetim Danışmanlık ve Medikal Ürünler Sanayi Ticaret Limited Şirketi("Nova Ambulans"), in our capacity as data controller under the Personal Data Protection Law No. 6698 ("KVKK"), we process the personal data of candidates who apply to us through the application form on our website, by email, via WhatsApp or through job boards. This notice has been prepared to fulfill our obligation under Article 10 of the KVKK.

2. Personal Data Processed

  • Identity: first name, last name
  • Contact: phone number, email address, WhatsApp account
  • CV, education and experience: CV, cover letter, education and work history, the position applied for
  • Documents: diplomas, certificates, driving licences and similar documents you share with us
  • Correspondence: email and WhatsApp messages about your application

3. Purposes of Processing

  • Assessing your application
  • Contacting you about your application
  • Planning and holding interviews
  • Running the recruitment process

4. Legal Grounds

  • KVKK Art. 5(2)(c): processing is necessary, and directly related to, the conclusion or performance of a contract (the pre-employment application process)
  • KVKK Art. 5(2)(f): processing is necessary for the legitimate interests of the data controller, provided it does not harm your fundamental rights and freedoms (keeping and assessing applications in an orderly way)
  • KVKK Art. 5(1) (explicit consent): only for the talent pool. If you tick the optional box on the application form, your application is kept in our talent pool for 12 months and we may contact you about suitable positions. Not consenting does not affect how your application is assessed, and you can withdraw consent at any time.

5. AI-Assisted Pre-Assessment

To help our team review applications, your application and the documents you share may go through an AI-assisted pre-assessment (for example, reading and summarising the information in your documents).

  • The final decision on your application is always made by a member of our team.
  • No decision about you is made solely by automated means.
  • You can object to the result of an automated analysis (KVKK Art. 11(1)(g)); a person reviews your objection.

6. Transfer of Personal Data

Your personal data may be transferred, limited to the purposes above, to the following service providers (country in brackets):

  • OpenAI (USA): pre-assessment
  • Brevo (France): email delivery
  • Zoho Mail (EU): mailbox
  • WhatsApp / Meta (Ireland / USA): messaging
  • Vercel (USA): application intake and review screen
  • Cloudflare (USA): website and application form
  • Servers (database and files): our servers located in Türkiye

Basis for transfers abroad (KVKK Art. 9): Personal data shared with the service providers listed above that are located abroad is transferred abroad in accordance with the conditions set out in Article 9 of the KVKK.

7. Retention Periods

  • Your application file and CV are deleted 6 months after the last action on your application.
  • A minimal record (name, position, date, outcome) is kept for 2 years.
  • If you separately consented to the talent pool, your application is kept for 12 months.
  • Copies of the messages and files you send by WhatsApp, kept in our WhatsApp message archive and file archive, are subject to the same periods.
  • Copies of messages and files sent by email are kept in mailboxes and email delivery logs for those systems’ own retention periods.

8. Your Rights and How to Exercise Them

You have the following rights under Article 11 of the KVKK:

  • Learning whether your personal data is processed
  • Requesting information about it if processed
  • Learning the purpose of processing and whether they are used in accordance with their purpose
  • Knowing the third parties to whom they are transferred in Turkey or abroad
  • Requesting correction if processed incompletely or incorrectly
  • Requesting deletion when the reasons for processing no longer exist
  • Requesting that corrections or deletions be notified to third parties to whom the data was transferred
  • Objecting to a result arising against you through analysis exclusively by automated systems
  • Requesting compensation for damages due to unlawful processing

Requests under the KVKK are answered free of charge within 30 days at the latest.
